Privacy Policy

This Privacy Policy describes how Seals Guy LLC (“Seals Guy,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you access or use the Gasket Agent application (the “Service”). The Service is an operational tool used by Seals Guy employees and authorized partners to identify refrigeration gaskets, manage customer records, generate orders, and issue invoices through third-party services such as QuickBooks Online.
By using the Service you consent to the data practices described below. If you do not agree, please do not use the Service.
1. Information We Collect
We collect the following categories of information:
- Account information. Email address, name, and role of users we provision (technicians, sales, administrators). Authentication is handled by Supabase Auth; we store hashed credentials, not plaintext passwords.
- Customer and business records. Client name, billing address, contact information, unit/equipment information, and order history that authorized Seals Guy users enter into the Service.
- Photographs. Photos of gaskets, equipment, and job sites uploaded by technicians for identification, training, and recordkeeping purposes.
- AI feedback signals. When a technician marks an AI identification as correct or incorrect (and optionally selects the correct profile), we store that judgment so the model improves over time.
- Operational telemetry. Application logs, error reports, request timing, and aggregate usage statistics used to maintain reliability and security. We use Sentry for error monitoring.
- Third-party integration data. When an administrator connects QuickBooks Online or Google Drive, we receive and store OAuth tokens and the realm/company identifier required to read and write data on behalf of Seals Guy.
2. How We Use Information
- Provide and operate the Service for Seals Guy and its customers.
- Identify gaskets from photographs using vision and multimodal-embedding models. Images submitted for identification are sent to Anthropic and Voyage AI for processing; we do not authorize those vendors to retain or train on this content beyond the duration of the request.
- Create and update customer records, invoices, and attachments in QuickBooks Online and Google Drive on behalf of the connected Seals Guy account.
- Send transactional email (e.g., invoice notifications) via Resend.
- Detect, investigate, and prevent security incidents, fraud, or abuse.
- Comply with applicable legal obligations and respond to lawful requests.
3. QuickBooks Online Data
When an administrator connects QuickBooks Online, the Service uses Intuit’s OAuth 2.0 flow to obtain access and refresh tokens scoped to the Accounting scope. The Service reads and writes:
- Company information (used solely to verify the connection)
- Customer records (created or matched by display name)
- Invoices and invoice line items (created from Seals Guy orders)
- Invoice attachments (PDF copies of the order)
- Invoice statuses (synced back to mark orders as paid)
We do not access bank accounts, payroll, or any QuickBooks data unrelated to Seals Guy customers and orders. Tokens are stored encrypted at rest in the Service database, transmitted only over TLS, and may be revoked at any time by disconnecting QuickBooks from the in-app Settings page or from Intuit’s My Apps console.
4. How We Share Information
We do not sell personal information. We share information only with the third-party processors required to operate the Service:
- Supabase— primary database, authentication, and object storage hosting.
- Railway and Vercel— application hosting.
- Anthropic— AI vision model used for gasket identification.
- Voyage AI— embeddings used for visual similarity search.
- Intuit (QuickBooks Online)— invoice creation and payment status sync, when connected by an administrator.
- Google (Drive)— document storage, when connected by an administrator.
- Resend— transactional email delivery.
- Sentry— error monitoring and incident response.
We may disclose information when required by law, to enforce our Terms, or to protect the rights, property, or safety of Seals Guy, our users, or others.
5. Data Retention
We retain account, customer, order, photo, and invoice data for as long as the relevant Seals Guy business records require, or as required by law. Disconnecting QuickBooks Online removes the OAuth tokens immediately; previously created invoices remain in QuickBooks under Seals Guy’s control. Authorized administrators may request earlier deletion of specific records by contacting tech-partner@sealsguy.com.
6. Security
We use industry-standard safeguards including TLS in transit, encryption at rest for tokens, row-level security in the database, scoped service credentials, and structured audit logs. No system is perfectly secure; if you become aware of a vulnerability please contact tech-partner@sealsguy.com before disclosing it publicly.
7. Children
The Service is an internal business application and is not directed to individuals under 16. We do not knowingly collect information from children.
8. Your Rights
Depending on your jurisdiction you may have rights to access, correct, export, or request deletion of personal information we hold about you. To exercise these rights, contact tech-partner@sealsguy.com. We will respond within a reasonable period and in accordance with applicable law.
9. Changes to this Policy
We may update this Privacy Policy from time to time. We will revise the effective date above and, when changes are material, provide notice through the Service or by email to administrators.
